  • Glossary

“Supplier”: refers to all individuals or legal entities who propose for sale (within the framework of the submission of bids and sampling) or actually sell (selected products) goods to DAMART irrespective of whether they are manufacturers, considered as manufacturers in the case of subcontracting, importers, etc.

“Purchase Order”: document on the basis of which DAMART orders a selected product from the Supplier; the Purchase Order constitutes a contract for the application of this document.

“Factory profile”: questionnaire to be completed by the Supplier. Containing data required for the auditing firms in order to prepare the factory audit. It includes the number of employees, production processes, etc.

“Initial audit”: an initial audit is an audit which is conducted by an ICS accredited auditing firm on a factory which has not been audited according to the ICS reference system within the past 24 months.
This audit lasts 1-4 days depending on the size of the company and its organization.

“Follow-up audit”: follow-up audits are ICS audits whose aim is to monitor / check the removal of non-compliances reported during a previous evaluation (initial audit, partial follow up or re-audit). They must be carried out at the latest within 12 months of completion of the initial ICS audit. The duration of the partial follow-up audit is 1 person / day, irrespective of the size of the assessed firm.

“Re-audit: the re-audits may be carried out and organised in the same way as the initial audits but the auditors must pay particular attention to the non-compliances identified during the previous audit. The re-audit lasts 1 - 4 days in line with the initial audit.

“Access denied”: access denied means the refusal by the factory to allow the auditing firm to carry out the ICS audit. It may result in the auditing firm being prohibited from accessing the factory or part of the latter (partial access denied).

“Corrective action plan”: the corrective action plan (CAP) is a document which describes each non-compliance identified in the audit. Every non-compliance is linked to the corrective action to be taken and the deadline for the removal of the non-compliance determined by the factory. This document is presented during the closing meeting and signed by the factory representatives who undertake to comply with its provisions. The factory possesses a copy of the CAP in its local language.

“Notification Alert”: a notification alert is a signal sent by the auditing firms to Damart which indicates the presence of major non-compliances (18 questions are subject to a notification alert in the questionnaire). This alert results in the weighting of the final score under letter E.

“Countries of sale”: the sales markets are the countries in which the Local Entities or their partners intend to sell the products.
In the case of DAMART SA, this corresponds to the European Union and Switzerland, with the understanding that sales are carried out via companies within the DAMARTEX group in Benelux by DAMART TSD and in Switzerland by DAMART SWISS as well as by means of sales partnerships.
In the case of DAMARTEX UK, the products are sold in the United Kingdom and the USA.
